Registering a death is one of the very first official jobs, and for most people it is something they have never done before. It comes with a time limit, a list of things to bring, and a lot of new words. For families in Newport, Shifnal and across Shropshire and Telford & Wrekin, here is what to expect, checked against GOV.UK guidance for England and Wales.

When do you have to register a death?

GOV.UK explains that after a doctor confirms the death, a medical examiner reviews the cause. You have to wait for the medical examiner's office to confirm you can register. You must then register the death within 5 days of that confirmation. The 5 days include weekends and bank holidays.

If the death has been reported to a coroner, the timing changes, and the coroner's office will tell you when you can register. This is common after a sudden or unexpected death at home.

Where do you register a death in Shropshire?

You register at a register office. In our area that usually means the register office run by Shropshire Council or by Telford & Wrekin Council. Most register offices work by appointment, so it is worth booking as soon as the medical examiner's office has been in touch. Check your council's website for current details before you go.

Who can register a death?

Usually a relative registers the death. If no relative can, someone else who was present at the death, or the person arranging the funeral, may be able to. The registrar will confirm who can register if you are unsure.

What do you need to take?

The registrar will ask about the person who died, such as their full name, date and place of birth, last address and occupation, and whether they were married or in a civil partnership. If you have them, it helps to bring:

  1. their NHS number or medical card;

  2. their birth certificate;

  3. their marriage or civil partnership certificate;

  4. their passport or driving licence;

  5. proof of address, such as a council tax bill.

Do not worry if you cannot find all of them. The registrar can usually work with what you have. If papers are lost in the house, our guide to finding a will and important documents explains where to look.

What do you get after registering?

You will be given the paperwork the funeral director needs for a burial or cremation, often called the green form. You can also buy death certificates. Many families find they need several, because banks, pensions and insurers often want to see one, and buying extra copies at the time can save delays later.

What is Tell Us Once?

Tell Us Once is a free service that lets you report a death to many government organisations in one go. According to GOV.UK, the registrar will either complete it with you or give you a unique reference number to use within 28 days. It can tell organisations such as HMRC, the Department for Work and Pensions, the Passport Office, the DVLA and the local council.

Tell Us Once does not tell everyone. You still need to contact banks, building societies, energy and water suppliers, landlords, employers, private pensions and insurers yourself.

Keeping track of reference numbers

Between the coroner, the register office and Tell Us Once, families collect a lot of reference numbers in a few days. Our free After They Die guide has a reference numbers page that keeps them on your own device, with no account and nothing uploaded. It was developed in the UK by Shropshire Expert Cleaners LTD, for families in England and Wales specifically.

While you deal with the paperwork

Registration happens away from the home, but the house may still need attention. If someone died at home and was not found for a while, it may not be safe to go back in. As a biohazard and forensic disinfection team, we can make the property safe while you deal with the registrar and the funeral director. Read about what to know about trauma cleaning in Telford.

Frequently asked questions

Can I register a death in a different area? GOV.UK explains that you can sometimes use a different register office, but it can take longer. Ask the register office before you book.

What if I miss the 5-day limit? Contact the register office as soon as you can. Not registering a death at all is an offence, so do not leave it.

Do I need a death certificate to arrange the funeral? The funeral director needs the green form from the registrar, or paperwork from the coroner.
